Bitrix24 for a real estate agency in Dubai
We build the CRM around how a Dubai broker actually works: leads from Property Finder, Bayut and Dubizzle land straight in the record, WhatsApp chats stay with the agency when an agent leaves, every listing carries its Trakheesi permit number and expiry, the deal moves through the RERA forms and the commission is calculated in dirhams
Where agencies lose deals
Four gaps we find in almost every agency before the rollout
Portal leads sit in the inbox
A lead arrives by email or in the portal dashboard and the broker replies an hour later, or tomorrow. By then the buyer has messaged three other agencies
WhatsApp lives on the broker's phone
The whole client history is in the agent's personal chats. When the agent moves to another agency, the clients and the agreements leave too
Ad permits tracked in a spreadsheet
A listing stays on a portal with an expired Trakheesi permit, and the agency finds out when the ad is taken down
Commissions worked out after the deal
The agent's share, the split with a partner agency and VAT are counted by hand, so the payout dispute starts after closing
What we build in Bitrix24
Property database
A dedicated section for every listing: type, community, project and developer, ready or off-plan, price in AED, owner, photos and status (available, reserved, sold, rented). The Trakheesi permit number and expiry date sit in the property record
Portal leads in the CRM
Leads from Property Finder, Bayut and Dubizzle reach Bitrix24 through the portal integration or an app from the Bitrix24 Market. Each lead is assigned by community or property type right away, and a returning client goes to their existing record instead of a duplicate
A pipeline per deal type
Ready sales, rentals, off-plan with a developer booking and payment plan, commercial. Each has its own stages, deadlines and required fields
RERA forms by stage
Deal stages are tied to the documents: Form A with the seller to market the property, Form B with the buyer, Form F between buyer and seller, Form I with a partner agency on a shared deal. Templates fill in from the deal record
Viewings and feedback
Every viewing is a CRM activity with the date, broker and client feedback. You see which properties get viewed and not taken, and how many viewings a deal needs
Commissions in dirhams
The agent's percentage, the partner split and 5% VAT are calculated in the deal. Agent payouts are visible before closing, not after
What management gets to see
- First response time on leads from each portal and by each broker
- Which portal brings deals, not just leads, so the listing budget stops being spent blind
- A reminder to the broker and the manager before a property's Trakheesi permit expires
- The broker's BRN and RERA card expiry in the employee profile
- All WhatsApp chats and calls in the client record, including after an agent leaves
- A funnel for every broker: leads, viewings, forms, deals, commission
An AI agent on the first line
For agencies with a steady flow of leads we add an AI agent: it answers a portal lead within minutes, at night and at weekends too, asks about budget, community, timing, buying or renting and payment method, and hands the broker a qualified client. More on the AI agents page
How the rollout goes
Review
We look at where leads come from, how brokers handle clients and where commissions are calculated
Database and pipelines
We build the property database, pipelines per deal type and required fields
Portals and WhatsApp
We connect the portals, WhatsApp and telephony, and move listings and clients over
Launch
We train the brokers, stay on support and refine the system as you go
Real estate experience
For the Apartico rental network we put over a thousand properties into one CRM: listings post to the portals on their own, and an AI agent sorts enquiries and helps with bookings. The project runs in Russia (Avito, Cian); the logic for Dubai is the same. Read the case
